KacePro is a farm management application developed and operated by KaceFarms Ltd, a company registered in Ghana. Our registered address is Ghana, and you can reach us at hello@kacefarms.com.

This Privacy Policy explains how KaceFarms Ltd ("we", "us", "our") collects, uses, stores, and protects personal information when you use the KacePro mobile application and website at kacefarms.com.

By using KacePro, you agree to the collection and use of information described in this policy. If you do not agree, please stop using the app.

Data We Collect

We collect only what is necessary to provide the KacePro service. Here is a breakdown:

We do not collect your precise GPS location, contacts, photos, or any data unrelated to farm management.

How We Use Your Data

We use the data we collect for the following purposes:

• Providing, operating, and maintaining the KacePro service
• Sending push notifications for vaccination schedules and farm alerts you have set up
• Generating reports, P&L statements, and analytics from your farm records
• Processing subscription payments and managing your account plan
• Responding to your support requests and messages
• Improving the app based on error logs and usage patterns
• Complying with legal obligations where required

Data Sharing

We do not sell, rent, or trade your personal data to third parties. We share data only in the following limited circumstances:

• Service providers: We use trusted third-party services to operate KacePro — including our hosting provider and Firebase (Google) for push notifications. These providers process data only on our behalf under strict data processing agreements.
• Payment processors: If you subscribe to a paid plan, payment is processed by Paystack. We share only what is necessary (your email and amount) for the transaction. We do not store your card details.
• Legal requirements: We may disclose data if required by Ghanaian law, court order, or to protect the rights, property, or safety of KaceFarms Ltd, our users, or the public.
• Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred. We will notify you before your data becomes subject to a different privacy policy.

Within your farm account, data is shared among the users you have added — owners, supervisors, and staff — according to the roles and permissions you set. You control who has access.

Data Security

We take the security of your farm data seriously. The measures we have in place include:

• All data is transmitted over HTTPS with TLS encryption
• Passwords are hashed using bcrypt — we never store plaintext passwords
• Each farm's data is isolated — no farm can access another farm's records
• API access is protected by token-based authentication (Laravel Sanctum)
• Our database user has restricted privileges — SELECT, INSERT, UPDATE, DELETE only
• Regular automated database backups are taken and stored securely
• Server-level firewall blocks all non-essential port access

While we implement strong security practices, no system is 100% immune to breaches. If a security incident affects your data, we will notify you promptly and take all reasonable steps to mitigate the impact.

Data Retention

We retain your data for as long as your account is active or as needed to provide the service.

• Active accounts: All farm records, financial data, and account information are retained indefinitely while your subscription is active.
• Cancelled accounts: After cancellation, we retain your data for 90 days in case you wish to reactivate. After 90 days, your data is permanently deleted from our servers.
• Data export: You can request a full export of your farm data at any time by contacting us at hello@kacefarms.com before cancellation.
• Legal retention: Some financial records may be retained for up to 7 years where required by Ghanaian tax and accounting law.

Your Rights

You have the following rights regarding your personal data:

• Access: You can request a copy of the personal data we hold about you.
• Correction: You can update your name, email, phone number, and farm details directly in the app settings. For corrections to other records, contact us.
• Deletion: You can request deletion of your account and all associated data. We will complete this within 30 days, subject to any legal retention obligations.
• Export: You can request a machine-readable export of your farm data at any time.
• Objection: You can object to certain processing of your data by contacting us with your concern.
• Notification opt-out: You can disable push notifications at any time from your device settings or within the KacePro app.

Children's Privacy

KacePro is a business tool intended for adults aged 18 and over. We do not knowingly collect personal information from anyone under the age of 18.

If you believe a minor has created an account on KacePro, please contact us at hello@kacefarms.com and we will promptly delete the account and all associated data.

Policy Changes

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.

When we make a material change, we will:

• Update the "Last updated" date at the top of this page
• Send a notification to your registered email address
• Show an in-app notice when you next open KacePro

Continued use of KacePro after a policy update constitutes your acceptance of the revised policy. If you do not agree to the changes, you should stop using the service and may request deletion of your data.
